Club Rules

Name, Objectives and Affiliations

  1. The Club shall be called the Christchurch Bicycle Club and may be referred to as CBC (the Club).
  2. The object of the Club shall be to promote cycling in all its forms.
  3. The Club shall be affiliated to Cycling UK (previously CTC), Cycling Time Trials (CTT), or any such bodies as the Club may from time to time determine in a General Meeting.

Members, Membership and Subscriptions

  1. The categories of membership of the Club shall be (a) Family/Household (all living at same address), (b) Adult, (c) Senior (75+), (d) Life/Honorary (for outstanding service to the club – as decided by the committee) and (e) Second Claim (full Members of the Club entitled to full rights and privileges, save that they may not win a Club Trophy or hold a Club Record). Subscriptions for each category shall be set by the Club in General Meeting and set out in the membership application/renewal form.
  2. Anyone wishing to become a member shall complete, in full, the membership application form and submit it with the appropriate subscription. The Committee shall consider the application at its next meeting. If the applicant is not approved for membership, the subscription shall be refunded.
  3. A joining fee is payable upon application for membership of the Club, or for renewals if lapsed (see Rule 9).
  4. Applicants approved for membership after 30th September in any event shall, upon payment of the appropriate subscription, be entitled to all of the privileges of membership of the Club up to 31st December in the following year.
  5. No Member shall be allowed to take part in any of the Club’s events or ride in the Club’s name unless his/her subscription to the Club has been paid.
  6. Any Member not having paid his/her subscription by the date of the AGM in each year shall be deemed to have resigned, and to have forfeited all rights and privileges accruing from membership. Only fully paid-up members shall be allowed to attend the AGM.
  7. Members of the Club shall be liable to disciplinary action for conduct prejudicial to the interests of the Club and/or cycling. The Committee shall have disciplinary powers and may, in serious cases, expel members from the Club.
  8. Guest cyclists are entitled to full rights and privileges of the Club. Guests are expected to join the Club after participation on four officially published Club rides.
  9. All Members wishing to resign from the Club shall notify the Secretary prior to 31st December.

Committee

  1. Management of the Club shall be undertaken by a Committee. The Committee shall be elected annually at the Annual General Meeting (AGM) to hold office until the end of the next AGM.
  2. The Committee shall comprise a Chairman, a Secretary, a Treasurer, a Membership Secretary, a Competitions Secretary, a Rides Co-ordinator, a Social Secretary and such other member or members as the Club’s activities may require. There shall be a minimum of six members and a maximum of twelve members of the Committee. A quorum for meetings of the Committee shall be five.
  3. The Committee, whose decision shall be binding, shall deal with any matter not provided for in these Rules.

Meetings

  1. The Committee shall meet quarterly (normally on the second Monday in each February, May, August and November) to transact the Club’s business. If necessary, an extra Committee Meeting in March may be held after the AGM in order to deal with any urgent business arising from the AGM. Five Members are required to form a quorum. Notice of meetings of the Committee shall be of at least 7 days.
  2. Items for the Agenda of any Committee Meeting shall reach the Secretary at least 2 days before the relevant meeting.
  3. Any Member of the Committee absent from three consecutive meetings without affording reasonable explanation, and obtaining leave of absence, shall be deemed to have resigned and the Committee may fill the vacancy.
  4. The AGM shall be held by 31st March in each club year. Notice of such meeting and a copy of the accounts and of any other documents mentioned in the Notice shall be sent to the Members at least 7 days before the meeting.
  5. A Special General Meeting (SGM) may be called by the Committee, or upon receipt of a written request signed by at least seven Members of the Club. Notice of an SGM shall be sent to the Members at least 7 days before the meeting.
  6. Items for the Agenda of any General Meeting should be sent to the Secretary at least 14 days before the relevant meeting.

Accounting and Audit

  1. The financial year of the Club shall commence on 1st January and end on 31st December. After the year end the Treasurer shall prepare an income and expenditure account and, if necessary, a balance sheet which shall be audited by an Auditor appointed at the previous AGM of the Club.
  2. An Honorary Auditor who, wherever possible, shall be a Member of the Club acting in an unpaid capacity and who shall not be a Committee Member, shall audit the accounts produced by the Treasurer and ensure that the Club Account is being managed in a proper manner by the Treasurer.

Club’s Colours

24. The Club’s colours shall be Silver, Sky Blue, Royal Blue and Navy Blue in combination. 

Insurance

25. Members’ Liability Insurance is covered by the Cycling UK (CTC) Affiliated Club Third Party Organisers’ Liability Insurance Policy and included in all Club membership categories. This policy covers all rides, events and meetings that are officially organised and published by the Club.

Amendments to the Rules

26. No alteration in, or addition to, these Rules shall be made without the consent of at least two- thirds of the members present at a properly convened General Meeting.

Dissolution of the Club

27. Dissolution of the Club. The Club can only be dissolved at a General Meeting of Members specially convened for that purpose, and any monies and effects of the Club shall be disposed of as directed at such meeting.
